Preparing for certification: define scope and processes

On this page
Clarify the purpose
Customer qualification, internal improvement and market communication may all motivate certification, but they require different outcomes. Agree the proposed scope, sites, activities, customer expectations and internal objectives before drafting procedures. Confirm the applicable standard edition, transition arrangements and certification conditions when the project starts.
ISO 9001 addresses quality management, ISO 14001 environmental management and ISO 45001 occupational health and safety management. ISO does not itself issue certificates to organizations.
Follow a representative order
Trace an order from requirements through delivery and after-sales support. At each step identify inputs, outputs, owners, risks and existing evidence. Check what happens when drawings change: are purchasing and production informed, obsolete versions removed and inspection instructions aligned?
Maintain three practical registers
- A process map showing operating, management and support activities.
- A gap register connecting each issue to evidence, ownership and verification.
- A records register showing where evidence originates and how it can be retrieved.
Readiness means people can explain their responsibilities and demonstrate consistent practice. The volume of paperwork is not a measure of effectiveness.
Review the complete system
Use internal audits and management review to examine actual operation, resources and unresolved issues. Verify corrective actions before agreeing application arrangements with the certification body. Consulting can support preparation; the certification body conducts its audit and makes the certification decision.
